How to Create Accurate Interior Design Quotes (with free template)

Underquoting wins the job, but it loses the business. Overquoting loses the job. The secret lies in granular accuracy and transparent presentation.

Why Most Quotes Are Wrong

The most common error interior designers make is quoting based on "gut feeling" or standard per-square-foot rates. While a per-square-foot rate is fine for a rough ballpark during an initial phone call, it is notoriously dangerous for a formalized contract.

Every site has hidden complexities. A 1000 sq ft apartment might require extensive rewiring, while another might be ready for surface finishes. Pricing them exactly the same guarantees you will lose margin on the complex job.

The Granular Estimation Method

Always break your quote down by room, and then by category. For example: Living Room -> Civil Work, Electrical, Plumbing, Millwork, Soft Furnishings. By breaking it down, you are forced to account for the small items that eat margin, like hardware, adhesives, and transport costs.

How to Handle Contingencies

Never hide a contingency fee in your line items. Clients appreciate transparency. Add a dedicated 10-15% "Contingency for Unforeseen Site Conditions" line at the bottom of the quote. If you don't use it, the client saves money. If you do need it for hidden water damage, you are protected and no one is surprised.

Presenting the Quote

Never just email a PDF. Schedule a 30-minute walkthrough of the quote via Zoom or in person. Control the narrative. Explain the quality of materials being used. A higher price is rarely an issue if the perceived value and trust are also high.
